Digital contract management is getting started!
Among the new features, from 20 November 2023 on the Hera_Pro portal it will be possible to handle all the necessary administrative documentation required from suppliers after they sign contracts for work, services and supplies including installation.
They will be introduced gradually: from November we will process contracts signed with individual suppliers, excluding temporary company groupings (R.T.I.) or consortia. From March 2024, the digitalisation of supplier performance checklists and subcontract management will also go live. Contracts signed with multi-party entities will also be managed in Hera_Pro as of this date.
Hera_Pro offers suppliers a number of benefits in contract management:
FEWER DOCUMENTS AND ALL IN ONE PLACE
- Document synergy between qualification, tender and contract execution to avoid re-submission of certificates or statements, with an estimated reduction of at least 20% in required supplier documentation.
- An individual archive to store documents required for different contracts only once, avoiding re-submission: the system allows storage and access to previous revisions.
SMART MANAGEMENT OF CONTRACT DOCUMENTATION
- Each document submitted is assigned an evaluation status by the Hera Group: approved, approval pending, rejected.
- Complete digitalisation of documents replacing other forms of communication (e-mail, certified e-mail, mail, etc.) with a view to sustainability.
- Digital calendar with automatic notifications when document expiry date is approaching.
- Easier communication with the Contractors’ Contact Persons through dedicated chats for the management of contracts.
- Reporting of events classified as accidents or near misses as well as environmental incidents, referring to each individual contract signed with the Hera Group.
